Position Overview: Retirement Benefits Administrator

We are currently seeking an experienced Retirement Benefits Administrator to join our comprehensive benefits team. This is a remote, entry-level position that offers a competitive annual salary of $75,000 along with an extensive benefits package designed to support your professional and personal growth.
As a key member of our economic benefits team, you'll be responsible for the daily administration of our retirement plans, including our industry-leading 401(k) program. Key Responsibilities
As a Retirement Benefits Administrator at arenaflex, your responsibilities will span across multiple domains, requiring you to leverage your expertise in benefits administration, regulatory compliance, and project management. Here's what you can expect:
- Compliance Management: Work with senior leadership and legal counsel to ensure accurate processes are in place to maintain compliance with 401(k) related regulations. This includes researching pending legislation, changes to laws, managing enrollment requests within allocated timeframes, and developing and facilitating process training to ensure procedures remain compliant.
- Stakeholder Communication: Participate with internal and external stakeholders to roll out and communicate new procedures, communication materials, and resources to the team. Support with escalated calls related to appeals cases, write and respond to service inquiries from customers, and develop, monitor, and report outcomes to management.
- Third-Party Administrator Relations: Manage third-party administrators (TPAs) by researching and benchmarking new TPAs and business partners. Provide analytical support and recommendations to senior management for plan design decisions, conduct on-site visits and audits, and maintain open lines of communication with TPAs to ensure service and financial goals are met according to contractual agreements.
- Plan Documentation: Translate requirements to ensure proper interpretation and benefits administration, provide training and education to TPAs, review and approve third-party and supplemental plan communications, and consistently review and recommend improvements to multiple benefits systems.
- Eligibility Management: Manage electronic eligibility files and discrepancies for all benefits plans to ensure they are administered and achieved in compliance with federal, state, and local laws and regulations. This includes researching and interpreting new and changing regulations, determining needed system and process solutions to conform with new requirements, and creating and implementing necessary reporting and controls around business processes.
- Project Leadership: Manage plan design change projects for benefits systems by analyzing project needs, interpreting file design requirements and evaluating them to current systems, and translating file requirements to ensure proper business processes and benefits management from a systems perspective.
- System Evaluation: Evaluate modern system barriers, determine needed machine changes to support file requirements, identify potential effects of changes to system processes, and work with the information systems division to determine the finest solution while maintaining compliance.
- Vendor Management: Influence and negotiate with carriers to accommodate file connectivity, provide guidance to new companies regarding requirements for system connectivity, manage eligibility record programming among multiple vendors, and resolve complex issues which impact internal teams and external partners.
- Strategic Planning: Develop project plans and lead business customers through the project management system by determining needed changes and file requirements, ensuring adoption of changes and file requirements, and creating communication plans to announce project processes to leadership, project team, and stakeholders.
- Continuous Improvement: Demonstrate up-to-date expertise and apply this to the development, execution, and improvement of action plans. Provide expert advice and guidance to others within the application of information and best practices, support and align efforts to meet client and business needs, and build commitment for perspectives and rationales.
- Relationship Building: Offer and support the implementation of business solutions by building relationships and partnerships with key stakeholders, identifying business needs, determining and executing necessary strategies and practices, monitoring development and outcomes, recognizing and capitalizing on development opportunities, and adapting to competing needs, organizational changes, and new responsibilities.
- Ethical Standards: Model compliance with company guidelines and procedures and support business mission, values, and standards of ethics and integrity by incorporating these into the development and implementation of business plans, using the Open Door policy, and demonstrating and supporting others with how to apply these in executing business processes and practices.
