Who We Need

We are seeking a dedicated Customer Service Representative to provide comprehensive customer service support for our Review Team. In this role, you will be the frontline voice of arenaflex, interacting with beneficiaries and healthcare providers through our helpline. You'll be responsible for the creation, formatting, and proofreading of important correspondence while maintaining exceptional timeliness and accuracy.

This position requires a great deal of decision-making authority regarding various types of complex appeals. You'll need to think on your feet, exercise good judgment, and consistently provide compassionate, professional support to those who need it most. What You'll Do

As a Customer Service Representative at arenaflex, your daily responsibilities will include:


  • Correspondence Management: Handle typing, merging, proofing for clarity, printing, and mailing of official correspondence with meticulous attention to detail

  • Customer Communication: Communicate professionally, both verbally and in writing, with external customers to furnish and request review information

  • Relationship Building: Foster effective working relationships between arenaflex's internal and external customers, creating a network of trust and collaboration

  • Process Improvement: Assist with and participate in Review Team activities to identify areas for potential improvement as noted on case reviews and processes

  • Helpline Support: Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. Determine how to best assist callers either by a service offered by arenaflex or by referring them to an external agency, properly entering referrals into the CMS system

  • Quality Assurance: Ensure all letters are sent out in a timely manner with correct components included, reviewing each for grammatical and spacing errors

  • Documentation: Obtain and validate notices and all components of medical records with accuracy and efficiency

  • Appeals Intake: Provide intake for all appeals received by arenaflex, ensuring proper documentation and follow-through

  • Compliance: Maintain proficiency in customer service guidelines and standards, adhering to all regulatory requirements

  • Quality Control: Utilize internal quality control tools to assess individual work and team processes, continuously striving for excellence

Qualifications

What You'll Need


  • Education: High school diploma or equivalent required; post-high school business courses are helpful

  • Medical Knowledge: Medical terminology knowledge is desired and will help you excel in this role

  • Communication Skills: Excellent verbal communication skills with a courteous and patient demeanor. You must be customer-oriented and have the ability to maintain composure under potentially stressful situations

  • Written Communication: Strong grammar, punctuation, spelling, hyphenation, and written communications skills are essential

  • Customer Focus: Results-oriented and capable of building and maintaining relationships with internal and external customers. Must be flexible and able to work as a team member while supporting team decisions

  • Technical Skills: General knowledge of PC-based computer systems. Knowledge of various software packages with the ability to learn additional software packages as needed

  • Multitasking: Must be able to multitask and prioritize assignments effectively in a fast-paced environment

  • Organization: Strong organizational skills with the ability to work independently with minimal supervision

Required Experience


  • Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities

  • Prior work in a healthcare setting or medical terminology knowledge is recommended

  • Previous data entry or other clerical experience is a plus
