As an Executive Assistant at arenaflex, you will be part of a dynamic team that maintains and manages the daily activities for senior leaders across the organization. Your responsibilities will include coordinating and planning social events, managing travel arrangements, and serving as the first point of contact for visiting executives and corporate sponsors.   • *Key Responsibilities:**
  • Coordinate and manage the daily activities of senior leaders, including scheduling meetings, making travel arrangements, and preparing agendas
  • Plan and execute social events, conferences, and other activities for executives and corporate sponsors
  • Provide administrative support to 1-3 senior leaders, including handling correspondence, preparing reports, and maintaining records
  • Manage travel arrangements, including booking flights, hotels, and rental cars, and making changes as needed
  • Coordinate with internal and external stakeholders, including financial sponsors, C-level executives, and other key contacts
  • Maintain accurate records and reports, including expense reports, travel records, and other administrative documents
  • Provide exceptional customer service to executives, corporate sponsors, and other stakeholders
  • Collaborate with other teams, including IT, HR, and facilities, to ensure seamless execution of events and activities
  • Develop and maintain relationships with key stakeholders, including executives, sponsors, and vendors
  • Perform other administrative tasks as needed, including data entry, filing, and mail management
  • *Requirements:**
  • Bachelor's degree in Business Administration, Communications, or a related field
  • 3-4 years of experience as an Executive Assistant or Administrative Assistant to senior-level executives
  • Excellent communication, organizational, and time management skills
  • Ability to work independently and as part of a team
  • Strong attention to detail and ability to maintain confidentiality
  • Proficiency in Google Suite (Gmail, Google Drive, Google Docs, Google Sheets, Google Slides, Google Meet)
  • Ability to travel occasionally, including domestic and international trips
  • Strong problem-solving skills and ability to think critically
  • Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines
