We are currently seeking a motivated and reliable Energy Services Data Entry Clerk to join our growing team. In this vital role, you will play a crucial part in maintaining organized and up-to-date digital files to support the day-to-day operations of our Energy Services Programs. Your attention to detail and commitment to accuracy will help ensure that client records are properly maintained, enabling our program staff to deliver timely and effective services to community members who depend on us.
This is a full-time remote position that offers flexibility and the opportunity to work from the comfort of your home while remaining an integral part of our team. You will have the chance to develop expertise in multiple database systems, work collaboratively with program staff, and contribute to our mission of serving vulnerable populations in our community.
Key Responsibilities
As an Energy Services Data Entry Clerk at arenaflex, you will be responsible for a variety of essential tasks that keep our programs running smoothly. Your daily responsibilities will include:
- Data Entry & Record Maintenance: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and accessible.
- Communication Management: Monitor emails, logging documents, and communications in the Monday.com platform upon receipt to ensure seamless information flow between team members and departments.
- Database System Management: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other systems as required by program specifications.
- File Organization & Compliance: Maintain organized digital and paper participant files in accordance with strict program guidelines, ensuring full compliance with agency and funder requirements at all times.
- Team Collaboration: Work closely with program staff to support, enhance, and promote communication and consistency in the delivery of services to our clients.
- General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed to support program operations.
- Remote Availability: Maintain availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as needed during standard business hours.
- Professional Development: Attend all required staff meetings, supervision sessions, training, and contractual meetings to stay current with program requirements and best practices.
- Training Participation: Participate in mandatory agency training and other relevant professional development activities to enhance your skills and knowledge in human services data management.
- Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, protecting sensitive client information and adhering to all privacy regulations and agency policies.
- Additional Duties: Perform related work as required to support the successful operation of Energy Services Programs.
Required Qualifications & Skills
To be successful in this role, candidates must meet the following minimum requirements:
- Education: Associate degree or equivalent professional experience in a related field.
- Experience: Two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families with low incomes.
- Substitution Equivalency: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education at the discretion of the hiring committee.
- Language Skills: Bilingual in Spanish preferred, with the ability to communicate effectively with diverse populations.
- Technical Proficiency: Strong computer skills with proficiency in Microsoft Office applications, email platforms, and comfort learning new database systems.
- Organizational Skills: Excellent organizational and time management abilities, with strong attention to detail and accuracy in data entry tasks.
- Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with colleagues, clients, and community partners.
- Self-Motivation: Ability to work independently in a remote environment while maintaining productivity and meeting deadlines.
- Ethical Standards: Demonstrated commitment to maintaining confidentiality and adhering to professional ethics in handling sensitive information.
Preferred Qualifications
While not required, the following qualifications would be considered a strong asset:
- Previous experience working in non-profit or human services organizations
- Familiarity with energy assistance programs such as LIHEAP, HEAT, or weatherization services
- Experience with customer relationship management (CRM) databases
- Knowledge of state and federal privacy regulations regarding client information
- Experience working with diverse populations, including immigrants and refugees
- Understanding of community resources and social services systems
