Position Overview: Call Center Representative – Pharmacy Data Entry & Patient Services

We are currently seeking a dedicated and detail-oriented Call Center Representative to join our dynamic healthcare services team. This is an exciting opportunity to be part of a leading healthcare organization while working in a fast-paced, customer-focused environment. In this role, you will be responsible for performing information sections and patient enrollment activities in accordance with state and government guidelines. You will be accountable for resolving third-party issues and handling high-volume customer requests while working under direct supervision.

You will be utilizing our advanced pharmacy systems to retrieve patient and medication information, ensuring accuracy and compliance with HIPAA regulations. Key Responsibilities


  • Patient Enrollment & Data Entry: Process new patient enrollment by entering data into appropriate systems using arenaflex's prescription data entry procedures and guidelines. Accurately input patient information while maintaining the highest standards of data integrity.

  • Prescription Processing: Handle patient medication requests within HIPAA guidelines and enter refill orders for processing. Investigate to obtain missing prescription information and decipher clinical abbreviations (SIG codes) accurately.

  • Data Exception Resolution: Resolve all data entry-related exceptions promptly and accurately, ensuring minimal delays in patient care and prescription processing.

  • Patient Communication: Handle correspondence with patients through inbound calls, visits, and emails. Make outbound calls to prescribers and patients as needed to resolve issues and ensure customer satisfaction.

  • Third-Party Issue Resolution: Resolve third-party insurance issues by assessing situations, gathering necessary information, recreating prescriptions, and resubmitting for processing according to individual plan requirements. Make phone calls to insurance providers and other parties to obtain information, gain override approval, or otherwise resolve third-party issues.

  • Pharmacist Support: Provide assistance to Pharmacists, both those in the office and those in other locations. Identify and escalate issues to senior-level staff as appropriate.

  • Regulatory Compliance: Must obtain an active pharmacy technician license or certification within the first 90 days of employment and maintain an active pharmacy technician license or certification throughout employment. Adhere to all company policies and procedures, maintaining compliance with regulatory requirements.

Essential Qualifications & Requirements


  • Education: High School Diploma or GED required

  • Computer Skills: Basic level computer skills including the ability to start up and shut down computers, use mouse pointing and clicking, start and close programs, switch between programs, save documents, print documents, and access information online

  • Web Navigation: Basic web browser skills including opening a browser, typing URLs in the correct location, using search engines, bookmarking websites, navigating using back/forward/stop buttons, and completing forms online

  • Keyboard Skills: Intermediate-level keyboarding skills with a minimum of 25 WPM (words per minute), ability to type from memory, and organize documents

  • Communication: Strong written and verbal communication skills

  • Age Requirement: Must be 18 years of age or older

  • Licensing: Must be able to obtain an active pharmacy technician license or certification within 90 days of hire

Preferred Qualifications & Experience


  • Industry Experience: At least 1 year of pharmacy technician experience in a retail or call center environment

  • Advanced Certification: At least 1.5 years as a pharmacy technician with certification/registration by the state as granted by the State Board for Pharmacies or a nationally recognized certification organization

  • Customer Service: Experience providing customer care to internal and external clients, including meeting quality standards for services and assessing customer satisfaction

  • Advanced Keyboard Skills: Intermediate to advanced-level keyboarding skills with a minimum of 35 WPM, ability to type from memory, and organize documents efficiently

  • Language Skills: Bilingual proficiency in Spanish and English

Compensation & Benefits
