Position Overview
We are currently seeking a Bilingual Customer Support Specialist to provide exceptional support to patients across our network of oral surgery centers. In this role, you will serve as the first point of contact for patients, helping them navigate the scheduling process, understand our services and fees, and coordinate their care.
This position is ideal for individuals who excel in customer-facing roles, possess strong communication skills, and are comfortable working in a fast-paced call center environment. You will be responsible for managing patient interactions via phone, ensuring that each caller receives personalized, empathetic, and efficient service.
Key Responsibilities
As a valued member of the arenaflex team, your responsibilities will include:
- Patient Scheduling: Manage and coordinate patient surgery appointments across all 16 offices and four markets. You will be responsible for finding suitable appointment times, confirming details, and ensuring all scheduling information is accurately recorded in our system.
- Phone Support: Answer incoming calls promptly and professionally. You will address patient inquiries, provide information about our services, explain fees and payment options, and guide callers through the process of scheduling their consultations and procedures.
- Insurance Coordination: Collect and verify patient insurance information, ensuring all details are accurately documented. You will work closely with our insurance team to facilitate coverage verification and help patients understand their benefits.
- Financing Assistance: Guide patients through the financing application process. This includes explaining available payment plans, assisting with application submissions, and answering questions about financing options.
- Collaboration with Surgery Centers: Coordinate with local surgery center managers to ensure seamless patient care. You will serve as the liaison between patients and our clinical teams, relaying important information and ensuring continuity of care.
- Documentation: Maintain accurate and detailed records of all patient interactions, including scheduling details, insurance information, and notes from phone conversations. Attention to detail is critical to ensure smooth operations.
- Team Support: Work collaboratively with fellow team members to meet daily goals and maintain high levels of patient satisfaction. You will participate in team meetings, share best practices, and contribute to a positive team environment.

Required Qualifications
To succeed in this role, you must meet the following requirements:
- Language Proficiency: Must be fluent in Spanish (reading, writing, and translating). You will be communicating with Spanish-speaking patients, so the ability to converse fluently is essential.
- Geographic Requirement: Must reside in the state of Utah. This is a work-from-home position, but due to operational requirements, we can only consider candidates currently living in Utah.
- Customer Service Experience: A minimum of three months of prior experience in sales, upselling, or customer support is required. Previous experience in a call center or healthcare setting is highly preferred.
- Communication Skills: Exceptional phone presence with the ability to build rapport quickly and handle difficult conversations with professionalism and empathy.
- Attention to Detail: Strong organizational skills and the ability to accurately input and manage data in multiple systems.

- Technical Requirements: Reliable high-speed internet connection with a minimum download speed of 50-100 Mbps and an upload speed of at least 10 Mbps to ensure smooth communication and system performance.

Work Schedule and Shift Details
We offer flexible day shift options to accommodate your lifestyle:
- Shift Option 1: Monday through Friday, 8:30 AM to 5:00 PM
- Shift Option 2: Monday through Friday, 10:00 AM to 6:30 PM
- Weekend Requirement: Every sixth Saturday, 8:00 AM to 4:00 PM (rotating schedule)
This schedule provides a consistent weekday routine while allowing for work-life balance. The rotating Saturday schedule ensures that weekend responsibilities are shared equitably among team members.
