Event Marketing Specialist

WuXi Chemistry, an integral part of WuXi AppTec, is looking for a proactive and detail-oriented Event Marketing Specialist to support and drive the planning and execution of impactful events across Europe, including trade shows, client engagements, and internal programs. This is a remote position open to candidates based in the EU.
In this role, you will take ownership of event coordination, manage relationships with vendors and internal stakeholders, oversee on-site execution, and help deliver seamless, high-quality event experiences that support business objectives and strengthen the company’s brand presence.
The ideal candidate is highly organized, hands-on, and thrives in a dynamic, fast-paced environment. You bring strong project management skills, excellent communication abilities, and the ability to manage multiple priorities while collaborating effectively with teams across different locations.
Responsibilities
Support the planning, coordination, and execution of in-person events across Europe, including conferences, trade shows, and client events
Manage end-to-end event logistics and operations, including venue coordination, catering, transportation, audiovisual setup, hotel accommodations, signage, and event shipments
Create and maintain detailed project timelines, registration tracking, event schedules, and run-of-show documentation
Collaborate closely with internal teams, vendors, agencies, and external partners to ensure seamless event delivery
Coordinate attendee communications, invitation processes, registration management, and on-site check-in experiences
Support event budget management, invoice tracking, and expense reconciliation
Coordinate the development and delivery of branded event materials, presentation decks, giveaways, and other event assets
Provide on-site event support and proactively resolve operational challenges to ensure a smooth attendee experience
Collect post-event feedback, track key metrics, and contribute to event performance reporting and continuous improvement
Manage multiple event projects simultaneously while maintaining strong attention to detail, organization, and execution quality
Qualifications
Bachelor’s degree in Event Management, Marketing, Communications, Hospitality, Business, or a related field preferred
3+ years of experience planning and executing trade shows, B2B events, client events, or corporate programs; experience in biotech, pharmaceutical, or technology environments is a plus
Experience managing event budgets, vendors, agencies, and cross-functional stakeholders
Strong project coordination and organizational skills with exceptional attention to detail
Ability to thrive in a fast-paced, dynamic environment with changing priorities and tight deadlines
Hands-on, proactive mindset with the ability to take ownership and drive projects from planning through execution
Comfortable working in a startup-like environment where flexibility, adaptability, and problem-solving are essential
Excellent communication skills and ability to work effectively across different regions and time zones
Experience with tools including Asana, SharePoint, Eventbrite, HubSpot, Salesforce, etc.; familiarity with event technologies is a plus
Willingness to travel (20-30%) as needed to support events across Europe
