Position Overview: Remote Energy Services Data Entry Clerk

We are currently seeking a detail-oriented and organized Energy Services Data Entry Clerk to join our growing team. In this essential role, you will be responsible for maintaining organized and up-to-date digital files to support the day-to-day operations of our Energy Services Programs. This is a remote position, allowing you to work from the comfort of your home while still being an integral part of our mission-driven organization.

The Energy Services Programs at arenaflex are designed to help families and individuals manage their energy needs, access assistance programs, and achieve greater financial stability. Your work as a Data Entry Clerk will be fundamental to ensuring that our clients receive the support they need in a timely and efficient manner. You'll be the backbone of our operations, keeping our systems running smoothly so that our program staff can focus on what they do best — serving our community.

Key Responsibilities

As an Energy Services Data Entry Clerk at arenaflex, your responsibilities will be diverse and meaningful. Here's what you can expect:


  • Database Management: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and accessible.

  • Communication Monitoring: Monitor emails professionally and efficiently, logging documents and communications in the Monday.com platform upon receipt to ensure nothing falls through the cracks.

  • System Utilization: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other platforms as needed. You'll become proficient in multiple technologies that support our mission.

  • File Organization: Maintain organized digital and paper participant files in accordance with program guidelines, ensuring full compliance with agency and funder requirements. Your organizational skills will directly impact our ability to serve clients effectively.

  • Team Collaboration: Collaborate with program staff to support, enhance, and promote communication and consistency in the delivery of services. You'll be a key liaison between administrative operations and client-facing teams.

  • General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed. No task is too small when it comes to supporting our mission.

  • Remote Work Availability: Maintain availability for remote work, including attending meetings, responding to emails promptly, and conducting regular duties as scheduled. Reliability is key in our remote work environment.

  • Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings. Participate in mandatory agency training and other relevant professional development activities to continuously grow in your role.

  • Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, handling sensitive client information with the utmost care and professionalism.

  • Additional Duties: Perform related work as required, adapting to the evolving needs of our Energy Services Programs.

Required Qualifications and Skills

To succeed in this role, you'll need the following qualifications:


  • Education: An Associate degree or equivalent professional experience. We value both formal education and practical knowledge gained through real-world experience.

  • Experience: Two years of experience in Human Services or a related field, or applicable work experience working with diverse individuals and families with low incomes. Your understanding of the challenges facing the communities we serve will be invaluable.

  • Substitution Policy: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education. We take a holistic approach to evaluating qualifications.

  • Language Skills: Bilingual in Spanish is strongly preferred. Massachusetts is a diverse state, and the ability to communicate with Spanish-speaking clients will greatly enhance your effectiveness in this role.
