Residential Real Estate Property Management Assistant - Freelance, Remote Department: Specialized Roles Employment Type: Full Time Location: Global+ Reporting To: Client via Magic Compensation: $7.00 / hour Description About the Client A fast-growing, owner-operated residential real estate business on the Gulf Coast manages roughly 100 long-term rental properties. The owners are licensed real estate professionals who currently handle leasing, tenant relations, rent collection, and maintenance in-house. They seek scalable support to streamline operations so they can reduce 12-hour days and focus on acquiring more properties. Why does this role exist? This role exists to relieve the owners from time-intensive, recurring property management work—especially rent collection and maintenance coordination—so operations run smoothly during Central Time business hours. By taking ownership of tenant communications, delinquency follow-ups, and vendor scheduling inside TurboTenant and via the client’s phone system, you’ll reduce operational bottlenecks. The objective is to increase on-time collections, speed up maintenance resolution, and create capacity for growth. The Impact you’ll make Rent collection and delinquency management • Monitor TurboTenant daily for payments, reconcile statuses, and flag discrepancies • Proactively follow up with late tenants via calls/texts/emails; send late/eviction notices per client guidance and local procedures • Maintain a clear tracker of promises-to-pay and outcomes Tenant communications and service • Answer and triage inbound tenant calls via the client’s phone system; route emergencies appropriately during business hours • Respond to inquiries and service requests with clear, empathetic, and professional communication • Provide bilingual coordination when possible (Spanish nice-to-have; translation tools acceptable) Maintenance coordination and vendor management • Dispatch and schedule handymen/plumbers/electricians; confirm access, scope, and timelines • Track work orders end-to-end in TurboTenant or shared tracker, including photos/progress and cost details • Follow up on open tickets until completion; escalate issues early when risks arise Records, systems, and reporting • Keep accurate logs of payments, fees, notices, and maintenance expenses • Prepare daily email summaries and weekly roll-ups of collections, delinquencies, and open/closed tickets (copy the owner’s wife as needed) • Maintain vendor lists, rate cards, and feedback for continuous improvement Compliance and process excellence • Prepare/send appropriate notices (late, pay-or-quit, eviction-related) using client-approved templates and instructions • Protect data privacy, follow Fair Housing principles, and document all communications for auditability • Recommend process tweaks to reduce cycle time, especially during the first 15 days of each month Skills, Knowledge and Expertise Required: • Proven recent experience in residential property management or supporting a property manager • Hands-on experience with rent collection follow-ups, tenant communications, and coordinating maintenance vendors • Excellent written and spoken English; confident, professional phone demeanor Your superpowers are... • Technical: TurboTenant or similar PM software; vendor scheduling; ticket/work-order tracking; basic bookkeeping/expense tracking; Google Sheets/Excel; phone system etiquette; documentation with photos/proof • Communication: Clear, empathetic tenant communications; de-escalation and conflict resolution; timely follow-through; concise written updates • Work style: Proactive, self-reliant, highly organized, detail-focused, and ownership-minded; anticipates needs and closes loops without being asked • Bonus: Spanish fluency (helpful for ~10% of tenants) and familiarity with Gulf Coast or similar residential markets WFH Set-Up: • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up. • Internet speed of at least 40MBPS • Headset with an extended mic that has noise cancellation and a webcam • Back-up computer and internet connection • Quiet, dedicated workspace at home You should apply if... • You thrive in a fast-paced environment with peak volume in the first 15 days of the month and stay calm under pressure • You’re energized by making outbound calls, resolving tenant issues, and coordinating multiple vendors simultaneously • You take initiative, manage your own priorities, and consistently deliver on-time results with minimal supervision • You care about accuracy, documentation, and doing the right thing for both tenants and owners, escalating when legal or safety issues arise What to expect...
