Position Overview
arenaflex is currently seeking a detail-oriented and reliable Remote Data Entry Specialist to join our Adult Education division. This is a full-time remote position that offers flexibility and the convenience of working from home while contributing to important educational support functions. The ideal candidate will possess strong organizational skills, exceptional attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment.
In this role, you will be responsible for maintaining accurate records, managing databases, and ensuring compliance with important regulatory requirements. Key Responsibilities
The Remote Data Entry Specialist will be responsible for a variety of clerical and data entry tasks that are essential to the smooth operation of our Adult Education office. The following are the primary duties and expectations for this role:
- Database Management: Manage multiple databases with precision to ensure accurate record-keeping and efficient data organization. This includes regularly updating information, maintaining data integrity, and organizing records in a logical and accessible manner.
- Grant Data Entry: Enter required grant data accurately into the NRS (National Reporting System) to meet monthly, quarterly, and year-end deadlines. Must maintain meticulous attention to detail to ensure all data meets reporting standards.
- Compliance & Record-Keeping: Maintain appropriate records and follow required procedures and practices for attendance and assessment data. Ensure all documentation meets local, state, and federal guidelines.
- Data Security: Maintain required security of student data in full compliance with FERPA (Family Educational Rights and Privacy Act). Handle sensitive information with the utmost confidentiality and professionalism.
- Quality Assurance: Complete regular error checks and data cleanup in NRS to ensure accurate reporting. Identify and correct discrepancies promptly to maintain data quality.
- Timely Data Access: Ensure data is accessible in a timely manner to staff and other stakeholders. Respond promptly to data requests while maintaining security protocols.
- Task Organization: Organize and prioritize tasks effectively to meet all local, state, and program deadlines. Manage competing priorities with minimal supervision.
- Student Outcome Monitoring: Monitor and evaluate student outcomes including pre/post testing with state-mandated assessments. Maintain accurate records of student progress and achievement data.
- Professional Development: Participate in staff meetings and professional development opportunities to enhance skills and contribute to team objectives.
- Document Management: Scan documents and label items systematically. Maintain organized digital and physical files.
- Inventory Management: Inventories supplies and ensure adequate resources are available for office operations.
- Word Processing: Performs basic word processing tasks including document creation, formatting, and editing.
- File Organization: Organizes digital files and materials in accordance with established filing systems and organizational standards.
- Correspondence: Prepares mailings and assists with filing duties as needed to support office operations.
- Additional Assignments: Perform other duties as required to support team objectives and organizational needs.
Essential Qualifications
arenaflex is seeking candidates who meet the following minimum requirements:
- Education: High School diploma or GED required. Post-secondary education in business, administrative services, or a related field is preferred but not required.
- Technical Skills: Knowledge of standard office practices and procedures. Proficiency in MS Office Software is required, with strong emphasis on Excel skills.
- Data Entry Skills: Ability to perform office work quickly and efficiently while maintaining exceptional accuracy. Must demonstrate speed and precision in data entry tasks.
- Organizational Abilities: Strong capability to plan, organize, and prioritize work effectively. Must demonstrate sound judgment in managing multiple tasks and deadlines.
