Who We Need
We are looking for a Customer Service Representative to provide all customer service support for our Review Team. In this role, you will be responsible for a wide range of activities that are critical to our mission of delivering exceptional healthcare support services. Your primary responsibilities will include interacting with beneficiaries and providers via our helpline, creating, formatting, and proofreading correspondence, and maintaining timeliness in all communications.
This position requires a great deal of decision-making regarding various types of complex appeals. You will need to exercise sound judgment and critical thinking skills to determine the best course of action for each caller while adhering to our established guidelines and procedures. What You'll Do
As a Customer Service Representative at arenaflex, your daily responsibilities will be diverse and impactful. Here's what you can expect to do in this role:
- Responsible for typing, merging, proofing for clarity, printing, and mailing correspondence with accuracy and attention to detail.
- Communicate verbally and in writing with external customers to furnish and request review information, ensuring all interactions are professional and productive.
- Foster effective working relationships between arenaflex's internal and external customers, building trust and rapport with all stakeholders.
- Assist with and participate in the Review Team in identifying areas for potential improvement, as noted on case reviews and processes.
- Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions, determining how to best assist each caller either by a service offered by arenaflex or by referring them to an external agency.
- Properly enter referrals into the CMS system and maintain accurate records of all interactions.
- Ensure all letters are sent out in a timely manner with correct components included, reviewing each for grammatical and spacing errors.
- Obtain and validate notices and all components of medical records with precision and care.
- Provide intake for all appeals received by arenaflex, ensuring proper documentation and follow-up.
- Maintain proficiency in customer service guidelines and standards, consistently meeting or exceeding performance expectations.
- Utilize internal quality control tools to assess individual work and team processes, identifying opportunities for continuous improvement.
- Other duties as assigned to support the team and organization.
Qualifications
Essential Qualifications
- High school diploma or equivalent required.
- Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities.
- Excellent verbal communication skills with a courteous and patient demeanor.
- Must be customer-oriented and have the ability to maintain composure under potentially stressful situations.
- Strong grammar, punctuation, spelling, hyphenation, and written communication skills.
- Customer-focused, results-oriented, and capable of building and maintaining relationships with internal and external customers.
- Must be flexible and able to work as a team member while supporting team decisions.
- General knowledge of PC-based computer systems and knowledge of various software packages with the ability to learn additional software packages as needed.
- Must be able to multi-task and prioritize assignments effectively.
- Good organizational skills and the ability to work independently with minimal supervision.
Preferred Qualifications
- Post-high school business courses are helpful and considered a plus.
- Medical terminology knowledge is highly desired.
- Prior work in a healthcare setting or experience with medical terminology is strongly recommended.
- Previous data entry or other clerical experience is a plus.
