Who We Need
We are looking for a talented Customer Service Representative to provide all customer service support for our Review Team. In this role, you will be responsible for interacting with beneficiaries and healthcare providers via our helpline, creating, formatting, and proofreading correspondence, and maintaining timeliness in all aspects of your work. This position requires a great deal of decision-making regarding various types of complex appeals.
The ideal candidate will be someone who thrives in a fast-paced environment, possesses excellent communication skills, and has a genuine desire to help others. You must be able to maintain composure under potentially stressful situations and be committed to providing exceptional service to every customer you interact with.
What You'll Do
As a Customer Service Representative at arenaflex, your primary responsibilities will include:
- Responsible for typing/merging, proofing for clarity, printing, and mailing correspondence to ensure accuracy and professionalism in all outgoing communications.
- Communicate verbally and in writing with external customers to furnish and request review information, maintaining a courteous and professional demeanor at all times.
- Foster effective working relationships between arenaflex's internal and external customers, building trust and rapport with all stakeholders.
- Assist with and participate in the Review Team in identifying areas for potential improvement, as noted on case reviews and process evaluations.
- Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. Determine how to best assist callers either by a service offered by arenaflex or by referring them to an external agency, and properly enter referrals into the CMS system.
- Ensure all letters are sent out in a timely manner with correct components included, reviewing each for grammatical and spacing errors before distribution.
- Obtain and validate notices and all components of medical records to ensure completeness and accuracy.
- Provide intake for all appeals received by arenaflex, meticulously documenting all relevant information.
- Maintain proficiency in customer service guidelines and standards, adhering to best practices in all interactions.
- Utilize internal quality control tools to assess individual work and team processes, continuously seeking opportunities for improvement.
- Other duties as assigned to support the overall effectiveness of the Review Team and customer service operations.
Qualifications
Education and Training
- High school diploma or equivalent required.
- Post-high school business courses are helpful and considered a plus.
- Medical terminology knowledge is desired and will be considered an asset in this role.
Essential Skills and Experience
- Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities.
- Prior work in a healthcare setting or medical terminology experience is recommended.
- Previous data entry or other clerical experience is a plus.
