What You'll Do
As a Collision Repair Customer Support Specialist at arenaflex, you will serve as the vital link between our customers, internal teams, and authorized body shop partners. Your responsibilities will encompass a wide range of tasks designed to ensure smooth operations and exceptional customer satisfaction. This role requires exceptional organizational skills, strong communication abilities, and a genuine passion for helping others.
- Schedule Maintenance and Repair Appointments: Manage and coordinate maintenance and repair schedules for customers, ensuring efficient turnaround times and optimal utilization of body shop resources. You'll work closely with body shop managers to find convenient appointment windows that meet customer needs.
- Act as Liaison Between Teams: Serve as the primary point of contact between Customer Claim Specialists and the Body Shop team. You'll facilitate clear communication, relay important information, and ensure all parties are aligned on repair timelines, procedures, and expectations.
- Vehicle Arrival Preparation: Coordinate and prepare for incoming vehicles scheduled for repair. This includes verifying documentation, preparing work orders, and ensuring the body shop is ready to receive each vehicle promptly.
- Manage WARP and CCC Systems: Utilize our proprietary WARP (Workforce And Resource Planning) system and CCC (CCC ONE) management software to track vehicle status, monitor repair progress, and maintain accurate records. You'll be responsible for data entry, updates, and ensuring system integrity.
- Customer Communication and Expectation Management: Provide exceptional customer service by keeping clients informed throughout the repair process. You'll manage expectations, answer questions, address concerns, and ensure a positive experience from drop-off to pickup.
- Rental Coordination and Handoff: Assist customers with rental vehicle arrangements during their repair period. This includes coordinating with rental partners, arranging vehicle handoffs, and ensuring a seamless transition while their primary vehicle is in the shop.
- Vehicle Status Updates: Provide regular status updates on repair progress to customers and internal stakeholders. You'll monitor repair milestones and communicate any changes to timelines or procedures.
- Materials and Components Reordering: Coordinate with parts departments to ensure timely availability of necessary components and materials for repairs. You'll track inventory levels and facilitate reordering when needed to prevent delays.
- Repair Overview and Delivery: Assist with the final review of repairs, ensuring quality standards are met before customer delivery. You'll help coordinate pickup times, explain completed work to customers, and ensure all documentation is in order.
