Why This Role Matters The Administrative Data Entry Specialist is the backbone of our Utilization Review (UR) and Peer Review Department. By ensuring that referral information, claim details, and clinical data are accurately captured and processed, you enable clinicians, nurses, and claims adjusters to make timely, evidence‑based decisions that affect patient outcomes and cost containment. Your work directly supports the organization’s quality programs, regulatory compliance, and overall operational efficiency. Key Responsibilities Referral Management: Upload referral forms, enter new referral data, verify client requirements, and assign referrals to the appropriate clinical team members. Utilization Review Coordination: Triage, assign, and monitor cases for utilization review, ensuring all necessary documentation is collected and uploaded. Communication Hub: Respond promptly to inquiries from providers, claims adjusters, patients, and internal teams; make outbound calls to schedule review discussions. Data Integrity: Enter demographics and clinical information into claims or management systems, maintain data accuracy, and run regular reports to support quality assurance. Document Handling: Distribute incoming and outgoing correspondence, fax, and mail; upload review documents into our paper‑less system, and support audits and accreditation activities. General Administrative Support: Perform routine data entry, document retrieval, and business communication tasks while adhering to company policies, legal regulations, and industry standards. Cross‑Functional Collaboration: Provide backup assistance to other units as needed, attend training sessions, and contribute to continuous improvement initiatives. Quality Program Participation: Support arenaxflex’s quality programs by participating in audits, accreditation processes, and other quality assurance functions. Essential Qualifications High school diploma or equivalent (required); Associate’s or Bachelor’s degree preferred. Demonstrated proficiency with Microsoft Office Suite, especially Excel, and comfort using online database systems. Excellent written and verbal communication skills, with a strong customer‑service orientation. Ability to plan daily schedules, prioritize tasks, and meet strict deadlines in a remote setting. Strong organizational, decision‑making, and problem‑solving abilities. Experience handling sensitive, confidential information with the highest degree of professionalism.
