Position Overview
As a Remote Account Representative at arenaflex, you will be the primary point of contact for a portfolio of key accounts. This is a pivotal role where you will manage the entire order lifecycle—from the initial quote and order processing through to shipment release. You'll have the opportunity to exercise independent judgment and work closely with Sales Management to address pricing inquiries, resolve customer concerns, and ensure complete customer satisfaction.

Key Responsibilities
Your day-to-day responsibilities will be diverse and engaging, requiring you to balance multiple priorities while maintaining exceptional attention to detail. Here's what you can expect:
- Account Management: Manage multiple client accounts simultaneously, serving as the dedicated point of contact from initial quote through order completion and shipment release.
- Order Processing: Review, interpret, and prepare customer purchase orders for data entry, ensuring all requirements are accurately captured and can be fulfilled.
- Quote Generation: Create and deliver competitive pricing quotes to customers, leveraging your knowledge of our products and pricing guidelines.
- Issue Resolution: Address and resolve customer inquiries, complaints, and issues including pricing discrepancies, credit requests, returns, and delivery deviations.
- Order Tracking: Monitor order status throughout the fulfillment process and perform necessary follow-ups to ensure timely shipment release.
- System Management: Utilize SAP to track accounts, monitor sales activity, enter data, and determine appropriate courses of action based on demand and customer needs.
- Cross-Functional Collaboration: Work closely with scheduling, manufacturing, shipping, and finance departments to address any delivery deviations or order-related issues.
- Reporting: Prepare and complete reports for management and executive teams, including sales representative commission verification and account activity summaries.
- Customer Communication: Maintain proactive communication with customers regarding order status, delivery updates, and any changes to their orders.
- Process Improvement: Embrace new process methodologies, technologies, and innovative ideas to enhance customer satisfaction and operational efficiency.
Essential Qualifications
To succeed in this role, you'll need a combination of experience, skills, and attributes that demonstrate your ability to deliver outstanding results:
- Experience: A minimum of 3 years in customer service or account management roles where you successfully handled problem-solving, quoting, pricing, order tracking, shipment delivery coordination, and delivered exceptional customer service.
- Technical Proficiency: Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with ERP systems, particularly SAP, is highly valued.
- CRM Experience: Previous experience with CRM systems is a plus and will help you hit the ground running.
- Problem-Solving Skills: Strong analytical abilities to address complex issues including customer complaints, credit requests, returns, and pricing discrepancies.
- Decision-Making: Capability to exercise independent judgment within established guidelines while knowing when to escalate to Sales Management.
- Communication Skills: Excellent verbal and written communication skills to interact professionally with customers and internal stakeholders.
- Multitasking Abilities: Comfortable managing multiple accounts and priorities in a fast-paced, dynamic environment.
- Customer Focus: Genuine passion for helping customers and delivering experiences that exceed expectations.
