DeanHouston is one of the largest B2B marketing agencies in the US, currently looking to add a Project Coordinator to their team. The role involves supporting the execution of marketing projects through administrative tasks, documentation management, and coordination with Client Success Managers to ensure projects progress efficiently.
Responsibilities
- Maintain and update project information in Workamajig and/or Asana
- Track project timelines, deadlines, budgets and task progress
- Ensure all project documentation is organized, complete, and up to date
- Follow established workflows and processes to support smooth project execution
- Assist in setting up projects, including timelines, tasks, and file structures
- Schedule meetings and send calendar invites
- Share project updates, timelines, and task assignments as directed
- Follow up with team members on assigned tasks and deadlines
- Assist with organizing deliverables for internal review and final delivery
- Support CSMs by handling day-to-day administrative responsibilities
- Maintain organized records of project activities and communications
- Assist with routing approvals and tracking feedback
- Flag potential delays or missing information to the appropriate team members
- Provide regular project status updates to internal teams
- Communicate deadlines, updates, and changes clearly and accurately
- Track basic workflow metrics and project progress
- Ensure project communications are documented and accessible
Skills
- 0–2 years of experience in an administrative, project support, or coordination role
- Strong organizational and time management skills
- High attention to detail and ability to follow established processes
- Ability to manage multiple tasks in a fast-paced environment
- Clear and professional communication skills
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Experience in a marketing, agency, or client service environment
- Familiarity with project management tools such as Asana or Workamajig
- Associate or bachelor's degree in business, communications, or related field
