Position Overview
As a Lead Bookkeeper, Tax Preparer, and Data Entry Specialist at arenaflex, you will play a pivotal role in maintaining the financial health and compliance of our diverse client base. This position requires a rare combination of technical accounting expertise, tax preparation experience, and exceptional client communication skills. You will be responsible for managing multiple client accounts, preparing federal and state tax returns, reconciling financial records, and providing strategic guidance to help clients understand their financial position.
It is important to note that this is not a call center or customer service role. Instead, you will engage in approximately 50 meaningful client calls per month, focused on relationship-building, financial clarity, and proactive guidance. These interactions are designed to be consultative in nature, allowing you to review financial reports, address client questions, and offer actionable insights that help clients achieve their financial objectives. This role offers the perfect balance between technical accounting work and client engagement, making it ideal for professionals who enjoy both aspects of financial services.
Key Responsibilities
As a key member of the arenaflex team, you will be entrusted with a comprehensive set of responsibilities that directly impact our clients' financial success and the overall efficiency of our operations. Your duties will include but are not limited to:
- Comprehensive Bookkeeping Management: Oversee and manage the bookkeeping functions for multiple client accounts with unwavering accuracy and compliance. This includes maintaining general ledgers, processing financial transactions, and ensuring all records are complete and up-to-date.
- Financial Transaction Recording: Systematically record all financial transactions, including purchases, sales, receipts, payments, and other monetary activities. Ensure proper categorization and documentation in accordance with generally accepted accounting principles (GAAP).
- Bank Reconciliation and Account Analysis: Perform regular bank account reconciliations and conduct thorough analysis of asset and liability accounts to identify discrepancies and ensure financial integrity.
- Financial Statement Preparation: Prepare accurate monthly, quarterly, and annual financial statements, including balance sheets, income statements, and cash flow statements, to provide clients with a clear picture of their financial performance.
- Payroll Management: Manage client payroll operations, including processing employee payments, calculating withholdings, and filing payroll tax returns in compliance with federal, state, and local regulations.
- Tax Return Preparation and Filing: Prepare and file individual and business federal and state tax returns, ensuring compliance with all applicable tax laws and regulations. Stay current on tax code changes and their implications for clients.
- Tax Compliance Review: Review and analyze tax data to identify potential compliance issues, maximize deductions, and minimize tax liabilities within legal boundaries.
- Documentation and Record Maintenance: Maintain complete and organized filing systems, both physical and electronic, to ensure easy retrieval of financial records and compliance with audit requirements.
- Client Communication and Consultation: Lead approximately 50 client calls per month, providing clear, actionable insights during financial reviews. Help clients understand their financial position, explain financial results, and offer proactive guidance on improving their financial health.
- Process Improvement and Collaboration: Work collaboratively with team members to identify opportunities for workflow improvements, enhance client experience, and contribute to the overall success of the organization.
- Data Entry and Accuracy: Perform data entry tasks with exceptional attention to detail, ensuring all financial data is accurately input into accounting software and properly maintained.
Essential Qualifications
To succeed in this role, candidates must possess a robust combination of education, experience, and technical skills. We are looking for professionals who demonstrate expertise in multiple areas of financial management and are committed to delivering excellence in everything they do.
- Experience: A minimum of 3-5 years of professional bookkeeping experience in a U.S.-based environment is required. This experience should demonstrate your ability to manage financial records accurately and efficiently.
- Tax Preparation Expertise: Proven experience in preparing both individual and business tax returns is essential. You should have a solid understanding of federal and state tax regulations and the ability to navigate complex tax situations.
- Accounting Knowledge: A strong foundation in bookkeeping, accounting principles, and payroll management is required. Familiarity with GAAP standards is highly preferred.
- QuickBooks Online Proficiency: Strong proficiency in QuickBooks Online is mandatory, as this is our primary accounting platform. Candidates must demonstrate the ability to efficiently navigate and utilize all features of the software.
- Software Experience: Experience with TaxDome and Go High Level (GHL) is preferred but not required. Familiarity with these platforms will be considered a strong asset.
- Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel, is essential. You should be comfortable working with spreadsheets, creating formulas, and presenting financial data.
- Communication Skills: Exceptional written and verbal communication skills are required. You must be able to explain complex financial concepts in clear, understandable terms to clients from diverse backgrounds.
- Client Management: The ability to manage multiple client accounts independently while maintaining high levels of service and attention to detail is critical.
- Professional Attributes: A high level of integrity, professionalism, and confidentiality is expected. You will be handling sensitive financial information, and trust is paramount.
Preferred Qualifications

Compensation and Benefits
