Position Overview
We are currently seeking motivated and professional individuals to fill Customer Service Representative positions in a fully remote, virtual environment. These are short-term, project-based positions that offer valuable experience in shareholder communications and corporate voting services. This role is ideal for those who enjoy telephone-based customer interactions, have strong communication skills, and are comfortable working independently from a home office.
As a Customer Service Representative, you will be responsible for handling outbound telephone calls to shareholders across the country. You will utilize a carefully designed scripted call flow that will guide you through conversations with shareholders, helping them navigate the proxy voting process and accurately recording their votes over the phone. This position requires exceptional phone presence, attention to detail, and the ability to build rapport with callers from diverse backgrounds.
Key Responsibilities
As a valued member of our team, you will be expected to:
- Handle outbound calls professionally: Initiate courteous and professional telephone communications with shareholders across the nation, ensuring every interaction reflects positively on arenaflex and our client partners.
- Navigate proxy voting conversations: Utilize provided scripts and call flow guides to assist shareholders in understanding their voting options and accurately recording their proxy votes during telephone conversations.
- Maintain accurate records: Update database systems in an accurate and timely manner following each call, ensuring all shareholder information and voting records are properly documented.
- Escalate concerns appropriately: Identify and escalate shareholder concerns or complex issues to supervisors when necessary, ensuring timely resolution and exceptional service delivery.
- Provide feedback to management: Keep the management team informed of any shareholder feedback, suggestions, or trends observed during calls to help improve overall operations and customer satisfaction.
- Meet performance targets: Achieve and exceed targets for productivity, quality, attendance, and adherence to code of conduct standards as established by arenaflex and our client partners.
- Stay current on campaign details: Keep up to date on campaign specifics, including voting procedures, shareholder rights, and any updates to the proxy voting process.
- Respond to inquiries: Handle inbound inquiries received via email or telephone, responding within acceptable timeframes in a courteous and professional manner.
- Support training initiatives: Assist trainers in developing and training new Proxy Representatives as needed, sharing your expertise and helping others succeed.
- Complete administrative tasks: Perform routine administrative duties for operations, training, or quality assurance departments as assigned.
- Participate in quality monitoring: Assist with quality assurance activities, including monitoring calls, pulling recordings, and providing peer feedback as a "peer monitor."
- Handle inbound calls: Accept and respond to inbound calls from shareholders within acceptable time periods, maintaining the same level of professionalism and courtesy expected of all customer interactions.
Technical Requirements for Remote Work
To be successful in this remote position, you must have the following technical setup:
- USB wired headset with microphone: A reliable headset is essential for clear communication with shareholders.
- Laptop or Desktop computer: Running Windows 10 or macOS operating system.
- Dual monitors: Strongly preferred as they enhance productivity when navigating multiple systems.
- Dedicated phone line: Personal landline or cell phone that can be dedicated exclusively for work hours during your scheduled shift.
- High-speed internet: Minimum of 10 Mbps download speed (hotspot connections are not acceptable).
- Ethernet connection: Wired ethernet cable from your router connected to your computer is preferred for stable connectivity.
- Quiet workspace: A dedicated, quiet space free from distractions where you can conduct professional conversations without background noise.
Essential Qualifications
Candidates must meet the following requirements to be considered for this position:

- Education: High school diploma or general education degree (GED); and six months of related experience and/or training; or equivalent combination of education and experience.

- Availability: Must be available to work part-time evening shifts, specifically Monday through Thursday from 6:00 PM to 11:00 PM EST and Saturday from 12:00 PM to 6:00 PM EST.
