The Global Merchant and Network Pricing (GMNP) division represents the single largest source of revenue for arenaflex: Merchant Discount Revenue. This critical business unit leverages merchant pricing strategies to promote acceptance and expand coverage, increase merchant satisfaction, and drive Global Merchant Network Services (GMNS) revenue and profit growth. As an Executive Assistant within this dynamic team, you will play a pivotal role in supporting senior leadership and contributing to the continued success of this vital revenue stream.
Position Overview
We are currently seeking a highly organized and proactive Executive Assistant to provide comprehensive office management and administrative support to our Vice Presidents in the Americas region. This role serves as the primary administrative partner for senior leadership, acting as a trusted liaison between executives and internal/external stakeholders. You will be responsible for orchestrating complex meetings, managing high-volume communications, coordinating international travel, and ensuring the efficient operation of executive offices. Your ability to anticipate needs, exercise sound judgment, and maintain absolute confidentiality will be essential to your success in this role.
Key Responsibilities
As an Executive Assistant at arenaflex, you will be entrusted with responsibilities that directly impact executive effectiveness and organizational efficiency:
- Calendar and Meeting Management: Orchestrate, confirm, and proactively manage detailed schedules, handling all aspects of complex senior-level meetings and related logistics. This includes coordinating participants across multiple time zones, preparing meeting materials, and ensuring all necessary resources are available.
- Communication Management: Place, receive, and manage a high volume of calls and emails with professionalism and discretion. Serve as the first point of contact for senior executives, filtering inquiries and ensuring timely responses to critical matters.
- Travel Coordination: Schedule and coordinate high volumes of complex international and domestic travel, including flights, hotels, ground transportation, and visa documentation. Ensure all travel arrangements align with company policies and executive preferences while optimizing for cost-effectiveness and convenience.
- Document Preparation and Management: Perform general administrative tasks including, but not limited to, drafting correspondence, organizing files, researching requested information, filing, and preparing pre-meeting review materials. Maintain organized digital and physical filing systems for easy retrieval.
- Expense Reporting: Prepare travel and expense reports on a timely basis, ensuring accuracy and compliance with company policies. Manage executive expense accounts and reconcile credit card transactions.
- Confidentiality and Discretion: Exercise extreme caution in handling highly sensitive and confidential information. Maintain the highest standards of professionalism and integrity when dealing with privileged corporate information.
- Internal Communications: Develop and execute employee communications, including but not limited to organizing Town Halls, executive updates, and conference calls. Ensure consistent messaging across departments and teams.
- Project Support: Assist with special projects and initiatives as needed, demonstrating flexibility and adaptability in a rapidly changing environment.
