Position Overview
As a valued member of the arenaflex team, the Data Entry Clerk plays a crucial role in maintaining organized and up-to-date digital files to support the day-to-day operations of our Energy Services Programs. You will be the backbone of our data management systems, ensuring that client records are accurate, accessible, and compliant with all regulatory requirements. Your work will directly support our program staff in delivering efficient and effective services to community members across Fitchburg and surrounding areas.

Key Responsibilities
As an Energy Services Data Entry Clerk at arenaflex, your responsibilities will include:
- Data Management and Entry: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and accurate.
- Communication Monitoring: Monitor emails, logging documents, and all communications in the Monday.com platform promptly upon receipt to ensure seamless information flow across the team.
- Database System Utilization: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other systems as needed. Demonstrate proficiency in learning new software platforms quickly.
- File Organization and Compliance: Maintain organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency and funder requirements. This includes proper categorization, secure storage, and timely updates.
- Team Collaboration: Collaborate effectively with program staff to support, enhance, and promote communication and consistency in the delivery of services. Act as a reliable resource for information and assistance.
- General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed to ensure smooth program operations.
- Remote Work Availability: Maintain availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as needed during standard business hours.
- Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings. Participate in mandatory agency training and other relevant professional development activities to enhance your skills and knowledge.
- Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, adhering to HIPAA regulations and agency privacy policies when handling sensitive client information.
- Additional Duties: Perform related work as required, demonstrating flexibility and a willingness to support the team's evolving needs.
Essential Qualifications
To succeed in this role, you must possess:
- Education: An Associate degree OR equivalent professional experience in a related field.
- Experience: A minimum of two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families with low incomes. We value practical experience and understand that equivalent combinations of education and experience can be equally valuable.
- Substitution Policy: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education. We encourage candidates who may not meet every exact requirement to apply if they have relevant transferable skills.
- Language Skills: Bilingual proficiency in Spanish is strongly preferred, as this will enable you to serve a broader range of community members effectively.
