Position Overview: Sleep Therapy Customer Service Representative

If so, arenaflex is looking for a dedicated and motivated Sleep Therapy Inbound Customer Service Representative to join our Sleep Central Inbound Call Center team within our Murray Operations division.
This pivotal role serves as the first line of contact for CPAP resupply customers, acting as a patient advocate and trusted resource throughout their sleep therapy experience. You'll be primarily responsible for new order intake, ensuring accuracy with product selection and utilization guidelines while verifying and entering correct patient demographics, payer information, and physician-related data.
In addition to order processing, you'll provide valuable sleep coaching support to patients, reinforcing proper cleaning techniques and routine equipment maintenance. As a product expert on various mask interfaces, you'll also assist patients with basic mask fit issues, helping them achieve optimal comfort and therapy compliance. Compensation and Schedule
At arenaflex, we value our team members and recognize that your hard work deserves competitive compensation. This position offers a starting pay rate of $15.50 per hour along with a Monthly Bonus program opportunity that provides potential for unlimited earnings based on your performance and dedication.
Schedule: Monday through Friday, 8:30 AM – 5:00 PM
Work Environment: This position begins with comprehensive in-office training to ensure you have the knowledge and skills needed to succeed. After successful completion of training and upon meeting performance expectations with management approval, you may have the opportunity to transition to a work-from-home arrangement, providing flexibility and work-life balance.
Key Responsibilities
As a Sleep Therapy Inbound Customer Service Representative at arenaflex, your responsibilities will include:
- Patient Advocacy: Act as a dedicated patient advocate to resolve questions, concerns, or issues in a timely and compassionate manner, ensuring each patient feels heard and supported throughout their care journey.
- Data Collection and Entry: Collect patient and source information accurately and input data into our proprietary e-Intake system, maintaining precision and attention to detail to ensure seamless order processing.
- Verification and Quality Assurance: Complete thorough verification for products and services, ensuring compliance with company standards and regulatory requirements.
- Regulatory Knowledge: Develop and maintain a working knowledge of current Medicare, Medicaid, insurance regulations, and FDA and JCAHO guidelines to ensure accurate processing and compliance.
- Product Expertise: Develop and maintain comprehensive working knowledge of current products and services offered by arenaflex, becoming a trusted resource for both patients and team members.
- Problem Resolution: Identify and resolve problems in a timely manner, demonstrating strong critical thinking and problem-solving skills to address patient needs effectively.
- Outbound Communication: Make outbound calls as needed to collect patient data, follow up on orders, and ensure complete documentation for seamless service delivery.
- High-Volume Call Management: Manage all aspects of initial patient intake via high volume inbound phone calls, maintaining professionalism and efficiency throughout each interaction.
- Documentation: Process related patient paperwork as assigned, ensuring all documentation is complete, accurate, and properly filed in accordance with company protocols.
- Order Fulfillment: Process tickets to ensure timely fulfillment of product orders, working collaboratively with our fulfillment team to meet patient expectations.
- Technical Support: Provide basic technical customer service assistance for CPAP equipment, guiding patients through troubleshooting steps and equipment setup.
- Patient Education: Provide education to patients and location employees on CPAP supplies, including proper usage, maintenance, and care instructions to optimize therapy outcomes.
- System Utilization: Use the e-Intake proprietary system to maintain accuracy and quality control throughout initial patient contact and data input, ensuring data integrity and compliance.
- Attendance and Punctuality: Maintain prompt and regular attendance, demonstrating reliability and professionalism as an essential team member.
- Additional Duties: Perform other duties as assigned to support team goals and ensure exceptional patient care.
Qualifications and Requirements
Employment Contingencies
Employment with arenaflex is contingent upon successful completion of:
- Background investigation (company-wide)
- Basic Computer and Basic Internet skills test
- Typing test to demonstrate proficiency in data entry
- Valid driver's license in state of residence with a clean driving record (when applicable for the position)
Education and Experience
- High school diploma or GED equivalent required
- One to three years of related prior work experience in a team-oriented environment
- Experience in the medical field and administrative record management preferred
- Strong customer service background with a proven track record of delivering exceptional service

- Communication: Effectively communicate in English; both oral and written, with physicians, employees, and patients to ensure questions and concerns are processed in a timely manner.
- Customer Service Orientation: Be helpful, knowledgeable, and polite while maintaining a positive attitude, even in challenging situations.
- Comprehension: Interpret a variety of instructions in a variety of communication mediums, adapting your communication style to meet diverse patient needs.
- Healthcare Knowledge: Knowledge of Durable Medical Equipment (DME) or Home Medical Equipment (HME) is preferred.
- Billing Acumen: Knowledge of billing reimbursement and insurance policies and requirements preferred; familiarity with medical billing practices is a plus.
- Confidentiality: Maintain confidentiality and practice discretion and caution when handling sensitive patient information, adhering to HIPAA regulations and company policies.
- Medical Terminology: Familiarity with medical terminology to effectively communicate with healthcare providers and understand patient needs.
- Multitasking: Ability to multi-task along with exceptional attention to detail, managing multiple patient interactions and data entry tasks simultaneously.
- Self-Management: Self-motivation, organized, time-management, and deductive problem-solving skills to thrive in a dynamic work environment.
